“Build a permission-based WhatsApp process for property enquiries with useful messages, clear handoffs and measured outcomes.
Start with permission, not a contact dump
A saved phone number or a downloaded spreadsheet is not an invitation to send property promotions. Tell people which business will message them and what kinds of messages to expect; record consent and respect applicable law. A useful opt-in can come from a property enquiry form with clear wording or an explicit customer request. Keep promotional subscriptions separate from operational updates, and make it easy for people to stop messages. WhatsApp rules and template requirements vary by product and use case.
Design the first response as a service
The first reply should answer what was requested: confirmation that the property is available, a brochure link, the right floor plan or an honest timeline for a response. Ask one useful qualifying question at a time rather than presenting a long interrogation. Offer a choice such as price sheet, available units or location details. The goal is to save the prospect time and establish trust, not to force a sales conversation before they are ready.
Use a small and clear message sequence
For an opted-in buyer who requests a brochure, a practical sequence may be: immediate requested document; a concise follow-up answering a likely question; and a later check-in only when it remains appropriate and permitted. Trigger follow-up from the lead stage and interaction history, not a blind hourly timer. Stop or switch to service-only messages when the person opts out, purchases, or says the property is irrelevant. Never imply urgency or inventory scarcity without current proof.
Organize enquiries before automation
Use CRM stages such as new enquiry, requested information delivered, qualified, viewing requested, viewing completed, proposal sent and closed. Store source, project, interest, preferred language, consent status, assigned owner and last meaningful interaction. Do not overload the pipeline with meaningless labels. Before adding a chatbot or messaging API, prove that humans can follow this process consistently and can correct wrong availability information.
Write messages that respect the screen
One message should have one main purpose and one clear next step. For example: “Here is the requested floor plan for Unit B12. The listed availability was checked today. Would you also like the payment schedule?” Avoid large uncompressed files, repeated calls to action and messages that pretend to be personally written if they are automated. Support Arabic and English consistently, and disclose when figures are indicative or could change.
Measure replies and outcomes responsibly
Measure message delivery, meaningful replies, qualification, viewings requested, viewings completed and permission withdrawals separately. A high open rate is not proof of good marketing if buyers are annoyed or opt out. Track whether useful information reached the buyer promptly and whether the conversation progressed by consent. Review policy changes, platform-approved templates and applicable privacy requirements before scaling outreach.
