“A cross-platform guide to lead forms, qualification, CRM routing, consent, lead scoring and sales follow-up for property campaigns.
Define qualification before spending
Marketing and sales should agree on a minimum usable enquiry: a clear property or project interest, an acceptable way to reply, and enough context to determine the next action. Do not mistake every form submission for an opportunity. Build a short qualification rubric around intent, inventory fit and timing, not assumptions about protected personal characteristics.
Give the lead stages names that represent actual business decisions: new enquiry, contacted, qualified, viewing requested, opportunity accepted and closed outcome. Every team member must apply the definitions consistently.
Ask fewer, better questions
Every extra form field adds friction. Start with the information the salesperson actually uses, such as preferred project, unit type or expected timeframe. Ask about budget sensitively and only when it materially changes the appropriate inventory recommendation. Avoid collecting national IDs, sensitive personal information or documents during a first casual enquiry unless a legitimate process requires it.
Explain what the requester receives after submission: a specific brochure, current availability note, pricing discussion or written follow-up.
Fix the handoff between ad and sales
Use consistent fields in the CRM: source, platform, campaign, ad, project, language, consent status and date. Add a deterministic deduplication rule so one person submitting twice is not celebrated as two prospects. Route each enquiry to the person accountable for that inventory and measure first meaningful response, not just an automated acknowledgement.
A good handoff shows exactly what the ad promised. A salesperson who receives only a phone number will repeat questions and destroy context the campaign already captured.
Use consent and eligibility properly
Write contact consent in clear, locally appropriate language and follow platform policy for housing campaigns and lead data. A request for property information does not by itself authorize unlimited promotional outreach on every channel. Preserve opt-out information and access controls. For housing ads targeting restricted jurisdictions, check special-category rules and do not discriminate through targeting or form design.
Review local regulations before advertising off-plan property, quoting returns or displaying unapproved prices and promotional terms.
Report one honest funnel
Show spend, enquiries, contacted enquiries, qualified leads, accepted opportunities, viewings and deals—plus definitions and attribution limitations. Report cost per qualified stage beside cost per lead, not in its place. Review reasons for rejection and the sales workload to learn whether a cheap lead is truly economical.
Use an illustrative A/B comparison only when labels are honest: one form may yield more leads, another may yield fewer but better ones. A win is a qualified next step accepted by sales, not the greenest dashboard number.
