This article proposes an original permission ledger that keeps creative production tied to the rights actually obtained.
Identify the actual rights holder
An owner’s permission to market a property does not necessarily include the copyright in photographs taken by someone else. Identify the creator or licensing party and the terms that apply to the image. Keep separate records for property authorization and image rights rather than assuming one document settles both questions for every asset.
Record the permitted uses
A licence may distinguish website display, printed brochures, paid advertising, modification and redistribution. Read the actual agreement and record the allowed channels and duration. A production team should not extend an image to a new medium merely because the original file is available in its shared folder and looks suitable for the campaign.
Keep credits and restrictions visible
Record any attribution requirement and test whether it survives the final layout or crop. Keep restricted assets clearly marked in the internal library. The design system can provide a credit field when needed, but a generic credit line does not replace permission or make an unauthorized use lawful under every jurisdiction.
Review expiry and reuse
A campaign may continue circulating after a licence expires or a collaborator changes. Connect each export to its source asset and permission record so the team can identify affected versions. This original operational process reduces uncertainty about reuse; it does not provide a legal opinion on a specific image licence or dispute.
Link permission to the exported filename
Record which permission supports each published image version, including a modified or cropped export. If the terms change or a licence expires, the team can then locate the affected outputs. Do not rely on a general folder name such as approved images when it hides different usage limits. A small, maintained asset ledger can support clear production decisions without requiring invented certainty about every rights question.
